Free cancellation with 100% refund if within the following conditions:
Regular Travel(airport runs/leisure or corporate travel):
We require 24 hours notice for a full refund. If after 24 hours we will give a 20% credit toward a future ride this ensures we can balance sustainability of our small business while continuing to serve you.
Event Travel(All day bookings, Concerts, Award Ceremonies, Sporting Events):
We require 72 hours notice for a full refund. If after 72 hours we will give a 20% credit toward a future ride this ensures we can balance sustainability of our small business while continuing to serve you. For certain select high demand events like Coachella we may impose a no refund policy given we block our calendar for your ride months in advance. But even under no refunds if we were not able to provide service or if the venue cancels the event we would provide a refund or credit. We balance sustainability with fairness.
Service Adjustments: (Added or Decreasing time or stops):
If you cancel a segment but still arrive at the destination using other transport without prior notice, no refund will be provided. Full refunds or credits apply only if you genuinely cannot arrive due to verified airline or medical circumstances.
Our Cancellation Policy for contract clients may differ from the policy above depending on signed service agreements or requirements.
No-shows—will be charged in full. No shows are considered cancellations and will be charged in full.
In the event of a genuine emergency, such as a medical issue or flight disruption, we may consider granting a full refund or a credit upon providing proper documentation. Acceptable proof includes a doctor’s note or official flight cancellation notice submitted within thirty days of the scheduled ride to tony@designingtheride.com.
Complimentary 15-minute grace period for all rides.
Airport pickups include a 30-minute complimentary grace period. Additional time may be accommodated for international arrivals upon request.
After the grace period, a standard waiting fee of $20 applies for every additional 15 minutes.
All reservations must be made in advance by phone or email.
Full payment is required at the time of booking to confirm your ride. We recommend booking at least 12 hours in advance to ensure availability. Gratuity is appreciated and may be added to your payment at the time of booking. Last-minute availability is not guaranteed.
Each reservation includes space for one large suitcase and one carry-on per passenger. Please inform us in advance if you’ll be bringing additional or oversized luggage so that we can make the necessary arrangements.
We reserve the right to refuse service or end a ride at any time if a passenger’s behavior is abusive , threatening or presents a health, safety, or cleanliness concern.
Designing the Ride works with a small group of licensed, insured partners who meet our service standards. Your ride may be fulfilled by one of our trusted affiliates.
At Designing the Ride, we value your privacy and are committed to protecting your personal information. When you book a ride with us—whether by phone or email—we may collect your name, contact details, travel plans, and payment information. This information is used only to schedule and complete your transportation service.
We do not sell or share your information with third parties. Your data is handled securely and respectfully at all times.

Partner/Affiliate Fulfillment
In select cases where Designing the Ride cannot provide your requested vehicle or service date, we may assign your ride to a trusted partner. In such instances, the partner assumes full responsibility for performing the ride, including all liability and insurance requirements mandated by law/CPUC. Despite partner fulfillment, all Designing the Ride cancellation, privacy, and service policies continue to apply to you as the customer, since payment and service coordination remain under our purview. By accepting a partner-fulfilled ride, you acknowledge that the partner is the operator of the transportation service, while our standards still govern your booking experience.
Farm-Out Agreement and Affiliate Fulfillment Terms
As a designated affiliate of Designing the Ride, you agree to fulfill assigned rides with full operational responsibility. This includes maintaining all legally required insurance levels and assuming liability for the ride’s execution. By accepting a reservation from us, you agree to comply with our cancellation, privacy, and customer service policies, as these remain binding on the consumer relationship. Whether domestic or international, this agreement ensures seamless service continuity and alignment with our customer commitment. Violation of these terms may result in termination of partnership.
